Come join us! As a result of our growth at RVH, we are hiring a new Permanent, Full-Time Administrative Coordinator, Business Development and Capital Projects.
Pay Grid: $34.12-$41.47/hour
The Administrative Coordinator of Business Development and Capital Projects plays a pivotal role in supporting the planning, execution, and advancement of capital projects. This role is responsible for administering the lease portfolio, preparing and coordinating business proposals, executive level business support, and other special projects. In addition, this role would maintain accurate records of the organization’s capital assets, support the capital budgeting process and assist with advancement in business development.

Duties will include but are not limited to: • Support the team through the planning, budgeting, and scheduling of capital projects from concept through completion. • Coordinate with internal departments, consultants, and contractors to ensure timely and cost-effective project delivery. • Track project milestones, deliverables, and expenditures; support CFO with regular status reports. • Maintain records for government reporting and reconciliation. • Liaise and administratively support Capital Project Leads. • Support procurement process including preparation of Request for Proposals. • Administrative support in advancing projects through governmental Hospital Capital Planning • Maintain and update the organization’s lease portfolio, including lease agreements, renewals, and compliance tracking. • Analyze lease data to identify cost-saving opportunities and ensure alignment with space utilization goals. • Under the direction of the CFO, coordinate the annual capital budgeting process, including the collection, review, and consolidation of departmental capital requests. • Prepare capital budget reports and forecasts for senior leadership and stakeholders. • Monitor capital expenditures against approved budgets and report variances, to ensure capital purchases are completed in the current fiscal year where appropriate. • Under direction of CFO, track deliverables and adherence to timelines and ensure deadlines are met. • Collaborate with internal teams and external partners to gather information, resolve issues, and ensure project success. • Draft internal communications and updates related to project progress and outcomes. • Provide high-level administrative support to CFO, including scheduling, correspondence, and meeting coordination. • Provide administrative support to the development of business development strategies and annual plans. • Provide support to the development and maintain master list of business cases.
Qualifications: Equivalent experience in lieu of formal qualifications will be considered. • Diploma in business administration or equivalent experience • Highly effective verbal and written communicator – often first point of contact with external and internal stakeholders • Capital project coordination experience (projects >$2M) is a definite asset. • Flexible and adaptable with ability to manage multiple projects simultaneously in an environment of rapid change. • Motivated self-starter, solutions-oriented leader. • Superior interpersonal, analytical and organizational skills • A commitment to ongoing education and self-development. • Demonstrated commitment to the Hospital’s mission, vision and values. • Criminal record check is mandatory.
