Permanent Full Time The Renfrew Victoria Hospital (RVH) is a 55-bed, fully accredited facility located just 45 minutes west of Ottawa, serving a catchment area of over 60,000. Part of the Renfrew and Area Health Village, RVH provides medical, surgical and complex continuing care as well as extensive ambulatory care with over 30,000 emergency and clinic visits per year. Job Summary The Intake Coordinator will be responsible for creating a welcoming culture, booking appointments, receiving, and processing external referrals, reception duties, providing administrative support to management and staff, maintaining the Measurement based care database, clinical records and generating reports. Responsibilities ● Answer calls and redirects accordingly – Welcome Guests and visitors and youth ● Contribute to creating and maintaining a safe, welcoming, non-judgmental, and non-stigmatizing hub atmosphere ● Work alongside staff to welcome new youth and help them navigate services, including explaining and assisting with the digital registration process ● Work from a harm reduction and youth-centered approach ● Manage voicemail and email messages. ● Receive and process external intake referrals and process third party requests ● Maintain the database and generate reports, ● File information and maintain electronic client files. ● Maintain inventory of office and programming supplies and replenish as needed. ● Participate in the orientation of new staff, volunteers, students as required ● Send monthly events calendar to community partners, youth and families ● Take staff meeting minutes, and understand manuals, program materials, policies, and procedures, etc. ● Other duties may be required
QualificationsQualifications/Skills/Experience • High School education – Grade 12 diploma • 1-3 years’ related experience working in mental health, human services or related field • Human service or office administration diploma is an asset • Have comprehensive computer expertise in Microsoft Office, excel and Google Drive, populate spreadsheets and databases and prepare written reports • Bilingualism (French/English) is an asset • A satisfactory and current Vulnerable Sector Screening is a requirement • Must be willing to work flexible hours, including some evenings and weekends • Must hold a valid driver’s license and be able to travel to multiple Renfrew County YWHO locations • The Renfrew County Youth Wellness Hub has a mandate requiring all employees to be fully vaccinated against COVID-19. • Experience documenting in an electronic health record (Preferred) • Ability to work independently and to perform duties within the physical demands of the work area. • Valid Ontario’s driver’s license and access to a vehicle (Essential)
